Why are we in Novi this year instead of Lansing?

After holding MVC in Lansing for more than three decades, the MVC Planning Committee made the decision to move to Novi in 2019. The main reason is space. We have outgrown the Lansing Center. Anyone who has attended the past few years has surely witnessed attendees standing in the back of the room, in the hallways, or sitting on the floor. This is not conducive to learning. The Lansing Center also does not have enough breakout rooms to allow us to add new tracks and new sessions to attract a greater segment of our membership. As we researched locations across the state, only two stood out as having enough space to accommodate a growing conference and were within our budget. Novi and Grand Rapids will allow us to continue to expand while also keeping registration/hotel room costs fairly consistent with years past.

What can I expect from the new location?

Suburban Collection Showplace allows us to have all of our sessions within one convenient location. Tracks and sessions will no longer be separated by walkways and facilities. We have five breakout rooms on the first floor and eight rooms just above them on the second. The Exhibit Show is also located behind the first-floor rooms. The rooms are larger and can accommodate more attendees. That additional space also allows us to set up the room in a “classroom” setting with tables for attendees rather than just “theater” seating with only chairs.

What are your COVID-19 protocols?

In an effort to mitigate risk and keep our attendees as safe as possible, proof of full vaccination or a negative COVID-19 test (PCR/NAAT or antigen) within 48 hours of the event will be required for anyone in attendance. Full vaccination means at least two weeks after your second dose of either the Pfizer or Moderna vaccine, or two weeks after one dose of the Johnson & Johnson version. The COVID test must be conducted by a medical provider (primary physician, testing clinic, pharmacy, etc.). We will also require masks in the Exhibit Show and during the Friday General Session Luncheon when not actively eating or drinking. We will also follow the CDC recommendations for universal indoor masking for Oakland County at the time of the event.

How will we know what the mask policy is onsite?

We will follow the CDC recommendations for indoor masking in Oakland County based on the level and risk of spread at the time of the event. If Oakland County is in the high (red) or substantial (orange) range, masks will be required at all times while indoors, including all CE sessions. If Oakland County is in the moderate (yellow) or low (blue), masks will be recommended, but not required. Regardless of transmission level, masks will still be required when in the Exhibit Show or while attending the Friday General Session Luncheon when not actively eating or drinking. Mask requirements will be strictly enforced by onsite staff, hosts and moderators. If attendees are not wearing masks or refuse to do so, they will be removed from the facility and no refunds will be given. Speakers will not be required to wear masks while presenting as they will be socially distanced from attendees.

How do I show proof of full vaccination or a negative test?

You can bring your vaccination card or show a picture of it upon check-in. You must also present a photo ID for verification.

Does an over the counter home rapid COVID test work as proof?

No. The test must be performed by a medical provider. Proof of that negative test must be shown with a physical document or through an app or email from the medical provider. Photo ID will also be required and the date of the test must be within 48 hours of check-in. If you are traveling from out-of-state or are unable to obtain a test within 48 hours, please contact us at mvma@michvma.org to apply for an exception.

What if I don’t get my test results in time or forget to get tested?

We are working to secure an onsite nurse to administer rapid tests, but cannot guarantee that will be the case. If we can secure a nurse, we will have appointments available for a rapid test that will cost $40-50 and will be charged to the person being tested.

Will there be onsite/walk-in registration?

Yes, but only if you have proof of full vaccination or a negative test within 48 hours. If you are not fully vaccinated or do not have proof of a negative test you will not be permitted to register.

What if I’m not feeling well, have a close contact or contract COVID just before and/or during the event?

Please do not come to the event. Refunds will be given to those who provide proof of a positive test within 14 days of the start of the conference.

Do you have a COVID-19 waiver that I am agreeing to if I attend?

Yes. The waiver is located on the registration webpage and on the paper registration form. Anyone who attends/registers agrees to that waiver.

Why is there no hybrid/virtual option?

We investigated the possibility but ultimately decided against it for several reasons. First, there are no state, county, or local restrictions on indoor gatherings. Therefore, we are responsible for fulfilling our contract with Suburban Collection Showplace. Failure to attend would amount to a breach of that contract and we would incur significant financial damages. Second, our member surveys show an overwhelming desire to meet in person. We would not have enough attendees in a virtual setting to offset the costs. Third, it is not financially or logistically feasible to add a virtual option. We would need to add three people to each CE track (one to run a camera, one to run the software, and one for technical support/attendee verification) in order to deliver virtual content. The cost and the logistics would not be justified for the small amount of attendees who would consider this option. If you are interested in virtual content, MVMA has offered numerous options throughout the pandemic including our monthly Lunch & Learns and Small Animal Series.

How much is parking?

Parking is free this year and located right outside the entrance to the complex. Attendees must be pre-registered and provide proof with the parking attendant in order to qualify for free parking. Please continue to watch your email for more information.

How do I get my registration materials? Will they be mailed as in previous years?

Registration badges and materials will NOT be mailed. Every registrant will receive a unique code in their email to bring with them onsite. Scan that QR code at any registration station and your conference badge will print out right there.

We know timing your travel may affect when and where you test. Below you will find several pharmacy options near the Suburban Collection Showplace that offer both the PCR Swab test and the Rapid Antigen test. MVMA does not endorse any particular testing location option. Consult your physician to find the best option for you.

In addition, while in attendance at the 2021 MVC, attendee agrees to comply with all COVID-related procedures that may be implemented by CDC, MDHHS, MVMA and Suburban Collection Showplace, including, but not limited to, mask-wearing and social distancing requirements and restrictions on certain activities that carry higher COVID-related risk, in order to protect as much as possible, the health and safety of all 2021 MVC attendees.

Attendees must show their vaccination card before they will be permitted to check in. Attendees must be fully vaccinated to fulfil the requirement. That means you must be at least two weeks past receiving your second dose of either the Pfizer or Moderna vaccine, or two weeks past one dose of the Johnson and Johnson vaccine. If you do not meet this requirement, proof of a negative viral test (NAAT or antigen test) issued from your healthcare provider or a public health official within 48 hours of the beginning of the event will be required.

Please know that the MVMA is working very closely with the Suburban Collection Showplace and expects the 2021 MVC to happen on December 2-5, 2021, as planned. However, if we are unable to host this in-person event safely, the format may change to virtual or the date will be moved. All cancellations MUST be in writing. A $50 cancellation fee will be assessed for any and all cancellations submitted by Friday, Nov. 12, 2021. From Nov. 13 until seven days prior to the event, a 50% refund will be given for any cancellation. No refunds will be given for cancellations submitted seven or fewer days from the start of the event. Should an event be canceled by MVMA, full refunds will be issued in a timely manner. By registering, attendees agree to MVMA’s COVID protocols and disclaimer.
